AI phone receptionist · Bespoke add-on

The call you miss while you’re with a client, answered.

When you cannot pick up, an AI receptionist does. It knows your services, prices and hours, offers only times that are actually free in your diary, books the appointment, sends the confirmation text and emails you what was said.

£49 a month. Up to 200 minutes of calls. No overage, ever. You keep your own number.

How a call goes

Four steps, none of them yours

1

Your phone rings first

Nothing changes for the calls you can take. If you do not answer, or you are already on a call, your phone hands the call to your Solovi number. That is a divert setting on your own phone, not a new number for your customers.

2

It answers in your name, honestly

“Hello, you’ve reached [your business]. I’m an AI assistant, and this call is transcribed. How can I help?” It never pretends to be a person, and it starts from your own services, prices, opening hours, address and cancellation policy.

3

It offers real times only

“A gel manicure on Friday?” It checks your live diary, the same engine your booking page uses, and offers up to three free times, per staff member if you have a team. It cannot invent a slot, a price or an offer.

4

Booked, confirmed, in your dashboard

The booking lands in your calendar marked “Booked by phone”. The caller gets a text with the details and a link to cancel or change. You get an email with a summary, and the transcript sits in your dashboard.

Straight answers

What it does, and what it does not do yet

It will

  • Book an appointment for any of your services, with any staff member who is free
  • Answer questions about prices, opening hours, your address and your cancellation policy
  • Take a message when a caller wants you to ring back, has a complaint, or asks something only you can answer
  • Send the caller a confirmation text, and email you a summary of every call
  • Recognise a returning customer by their number and keep their history in one place
  • Pause with one switch in your dashboard, for holidays or if you would rather take calls yourself

It will not, for now

  • Reschedule or cancel an existing booking. It takes a message, and the customer’s confirmation text carries a link to do it themselves
  • Take payments over the phone. Deposits, if you take them, go through the link in the text
  • Give medical or aftercare advice. Those questions become a message for you
  • Put a caller through to you. That is on the list; today it takes a message instead
  • Speak anything other than English

It cannot overbook you

Every time it offers and every booking it makes goes through the same checks as a booking from your website: your hours, time off, staff availability, other bookings, and a lock against two people taking the same slot. The assistant never sees a time your booking page would not show.

Transcribed, not recorded

Solovi keeps no audio. You get the words, in your dashboard, for 90 days by default. Callers are told in the first sentence. Your site’s privacy page gains the right lines automatically the day it is switched on, so there is nothing for you to write.

Fails politely

If it cannot reach your diary, the caller hears a short message asking them to book online or try again later. It does not guess, and it never takes a booking it cannot see. You are emailed if a call could not be handled.

Price

£49 a month

On top of the Bespoke plan, which is £49 a month on the 2026 rate (£79 standard). Up to 200 minutes of answered calls a month, roughly 80 to 120 calls. When the minutes are used up the line asks callers to book online until the month resets, and you get one email. No overage charge, no setup fee, cancel any time.

For comparison, Fresha lists its AI Concierge at £79.95 a month per location.

Setting it up takes two codes

We buy a UK 03 number for you and set the receptionist up on it. You dial two codes on your own phone and you are done. Your customers keep ringing the number they already have.

Standard codes on EE, O2, Vodafone and Three. Landline and VoIP systems set diverts in their own settings, to the same number.

Questions

Before you switch it on

Do I need a new phone number? +

No. You keep your number. We give you a UK 03 number that the receptionist answers, and two divert codes for your own phone: one for when you do not answer, one for when you are already on a call. Your phone still rings first. Two codes switch it all off again.

Does it pretend to be a person? +

No. The first sentence of every call says it is an AI assistant and that the call is transcribed. It has a British voice and speaks plainly. Callers who want a person are offered a message, which you get by email within a minute of the call ending.

Can it book a time that is not actually free? +

No. It only ever offers times that come from the same diary engine as your website, after your working hours, time off, other bookings and every staff member’s own availability. If a slot goes while the caller is deciding, the booking is refused and the receptionist offers the next free times instead.

What can it not do yet? +

It cannot reschedule or cancel an existing booking itself: it takes a message and you make the change, or the customer uses the link in their confirmation text. It does not take payments over the phone (deposits go through the link in the text), it does not give medical or aftercare advice, and it speaks English only for now.

What happens after 200 minutes? +

The line answers with a short polite message asking the caller to book online until the month resets, and you get one email telling you the minutes are used up. There is no overage charge, ever. 200 minutes is roughly 80 to 120 calls.

Who pays for the calls? +

The minutes are included in the £49. The caller pays their normal rate for an 03 number, which is charged like a landline and is included in most UK mobile and landline bundles.

What if your system is down? +

The receptionist cannot take a booking it cannot check, so the caller hears a short message asking them to book online or try again later. It never guesses, and it never takes a booking it cannot see in the diary.

Where do the transcripts go, and for how long? +

Calls are transcribed, not recorded: Solovi keeps no audio. The transcript and a short summary appear in your dashboard under Settings, and are deleted after 90 days by default (you can shorten that). Our voice provider keeps its own transcript for 30 days with voice recording switched off. Your site’s privacy page lists all of this automatically once the receptionist is on.

Which plan is it on? +

It is an add-on to the Bespoke tier, £49 a month on top of the plan. We switch it on for you: buying the number, setting it up and sending you the divert codes is part of the service.

Texts to your customers are part of the same plan: how SMS reminders work. Questions the page does not answer: ask us.
